Event organization

When organizing scientific events at IOCB, it is important to follow this step-by-step guide:
  1. Check the IOCB Events Calendar first to see if your event does not conflict with any other scheduled events. Once you've confirmed a suitable time slot, book a venue or room.
  2. Fill in the event organization form (don’t forget to read the Directive S2018-02)
  3. Discuss your plans with all relevant departments:
    • ITS – secure and controlled entry for all participants, AV equipment,
    • Technical management – implementation of control measures, special requests, cleaning…,
    • Financial department – financing,
    • …if there are additional requirements outside competence of the above departments, you can discuss it with Communication etc. depending on the nature of your request.
  4. Next, pass your signed event form to the director for approval
  5. The organizer is responsible for the event organization, logistics, communication with scientists and venue hire.
  6. Contact following people to help you with publicizing your event:

Backup ultra-low freezer

Department of Internal Administration and Transport has procured a backup ultra-low freezer ARCTIKO ULUF P610GG INTEGRA for emergencies involving commonly used laboratory freezers.

  1. The backup freezer is now available in room B.01.33 and is marked EMERGENCY.
  2. The freezer is normally turned off.
  3. In the event of an emergency, please get in touch with Václav MŽOUREK (☎ 335) first, who will provide further instructions for use.
  4. The manual, including instructions for activation (pdf).
  5. The operating temperature is -70°C, which the freezer will reach within 3-4 hours after being switched on.
  6. The freezer is intended exclusively for storing materials from a currently malfunctioning freezer during its repair period. It cannot be used as extra storage beyond your allocated space in the laboratory freezers.
  7. Only clearly labeled materials with the group's name and the date of storage can be placed in the freezer. The same information must be recorded on the log sheet attached to the freezer door.
  8. The maximum storage period in the backup freezer is 1 month, which should generally be sufficient for repairing your malfunctioning freezer. If necessary, individual arrangements can be made with Václav MŽOUREK.
  9. After removing the materials from the freezer, please inform Mr. Mžourek so the freezer can be safely turned off again.
  10. For feedback or suggestions regarding the operating rules, please contact the Research Support department.

  3. Reach out to the Personnel and Payroll Department to inform them of your pregnancy. They will guide you through the necessary steps and paperwork.
  4. What to expect next? The Personnel and Payroll Department will work with you to confirm your planned maternity leave start date and help process all required documentation, including a formal statement transferring you to a risk-free position. The department will also provide guidance on when and where to apply for parental allowance, ensuring you receive the support you need.
